[MUSIC] This presentation is about the communication plan for a project. The first step in this plan is to analyze the information needs of all stakeholders in the project. Typical information needs are milestone reports, periodic status reports, reviews undertaken and consequent actions, problems and difficulties encountered and how they are being overcome, action items requiring attention, etc. Sometimes the scope may be changed. Changes in scope that have been accepted should be communicated to all stakeholders, sometimes changes of accepted may delay the project in terms of time and or cost, and or performance, and this needs to be communicated to all stakeholders. Communication mode and whether it is going to be by email, teleconferencing, face to face meeting, stand up meetings, etc., should be decided. Team status meetings are also a way of communication. Changes, if any, on the team and structure, minutes of the meetings, etc., should be given to all the members of the team. Who will receive what information, limits of any, to access certain information should be specified the sources of information? How the information is to be collected and stored, etc., how to be articulated? Who will authorize to communicate what and to whom? And how frequent they should be made clear to all stakeholders? In the table here, the rows correspond to the information that need to be communicated. The first column contains the information to be communicated. The second column gives the target audience. While the third column gives the frequency of communication. The fourth column gives the method of communication such as email, hard copy, etc. While the last column identifies the person our office. That is responsible for communicating the information. For instance, for the milestone report, the target audience would be senior management and project manager, and the report is to be sent monthly by email and hard copy. The person or office responsible for providing this information is the project office. The communication plan will depend upon several factors such as how complicated the project is, the duration of the project, etc. Changes in the plan schedule are sometimes not communicated to the people who have to do the task. The code from the book where the head of a statistical lab says I pulled three of my best people off work to reserve them for data analysis project. These three people sat for days waiting for data. The project manager knew that the data would be late and never bothered to let me know. Then, he had the gall to come in here and ask me to speed up our analysis so that we can make up the lost time. If the project manager had only communicated the delay, then I'm sure the Head of the Statistic Department would not have made such rude comments and perhaps would have been more than willing to accommodate in terms of making up the lost time. So communication plan is very important and this should be taken care of by the project manager. [MUSIC]
